How we collect, use and protect the information you share with Crossroads Ledger LLC.
Last updated: August 1, 2026 · Effective: August 1, 2026
1. Who we are
Crossroads Ledger LLC ("Crossroads Ledger", "we", "us") is an Indiana limited liability company owned by David Jones, with its office at 837 Sixth Avenue, Indianapolis, Indiana 46218, United States. We operate the website https://demoforclient.site and provide bookkeeping, payroll and tax preparation services. We are the controller of the personal information described in this policy.
Contact for privacy matters: admin@demoforclient.site or +1 (615) 727-3650.
2. Information we collect
2.1 Information you give us
- Enquiry details — name, business name, email address, telephone number and whatever you write in the message field of our contact form or in an email.
- Client engagement information — where you become a client, the financial records needed to perform the service: bank and card statements, invoices, receipts, payroll data and tax identifiers.
- Correspondence — notes of calls and copies of emails, kept so that we have a record of instructions given.
2.2 Information collected automatically
- Server logs — our hosting provider records IP address, browser type, referring page, requested URL and timestamp for security and troubleshooting.
- Cookies — a single first-party item of local storage recording your cookie preference. See the Cookie Policy.
We do not knowingly collect information from anyone under 16 years of age, and we do not sell personal information.
3. How we use information
| Purpose | Categories used | Legal basis |
|---|---|---|
| Responding to enquiries | Contact details, message content | Steps prior to entering a contract |
| Delivering bookkeeping, payroll and tax services | Financial records, identifiers | Performance of a contract |
| Filing returns with tax authorities | Financial records, identifiers | Legal obligation |
| Invoicing and collecting payment | Contact and billing details | Performance of a contract |
| Website security and fault diagnosis | Server log data | Legitimate interests |
| Measuring which pages are useful | Aggregated analytics data | Consent |
4. Advertising and analytics
We advertise our services online, including through the Microsoft Advertising network. Where advertising or analytics technologies are used, they are loaded only after you accept optional cookies through the banner on this site. We do not place advertising cookies before consent, and declining optional cookies does not restrict access to any part of the site.
5. Sharing your information
We share personal information only where it is necessary, and only with:
- accounting and payroll platforms used to deliver the service (for example QuickBooks Online, Xero, Gusto);
- federal, state and local tax authorities, when filing on your behalf and on your instruction;
- our website host and email provider, acting under contract as service providers;
- professional advisers or a lender, where you have asked us in writing to do so;
- a public authority, where disclosure is required by law or court order.
We do not sell, rent or trade personal information, and we do not share it for cross-context behavioural advertising.
6. Retention
Enquiries that do not become engagements are deleted after 24 months. Client accounting records are retained for seven years after the end of the engagement, which reflects federal and Indiana record-keeping expectations. Payroll records are retained for at least four years. Server logs are kept for 90 days.
7. Security
Documents are exchanged through an encrypted client portal rather than as email attachments. Data in transit is protected by TLS, systems require multi-factor authentication, access is limited to the staff working on your account, and backups are encrypted. No method of transmission is perfectly secure, but we notify affected clients without undue delay if a breach occurs that is likely to cause harm.
8. Your rights
Depending on where you live, you may have the right to request access to the personal information we hold, correction of inaccurate information, deletion where retention is not required by law, a portable copy, and to withdraw consent at any time. Residents of certain US states may also opt out of sale or sharing — we do neither. To make a request, email admin@demoforclient.site. We verify identity before acting and respond within 30 days. You will never be treated differently for exercising a right.
9. International visitors
We operate from the United States and information is processed there. If you contact us from outside the US, you understand that your information will be transferred to and stored in the United States.
10. Third-party links
This site links to third-party resources such as software vendors and government agencies. We are not responsible for their content or their privacy practices; please read their policies before submitting information.
11. Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes affecting existing clients are notified by email at least 14 days before they take effect.
